Annual Members Meeting and Board Elections


Olentangy Braves and Bears Little League Parents,

Please mark your calendars for our annual members meeting.  This is your opportunity to make your impact on our league and the players in our community.

The Olentangy Braves and Bears Little League will hold its annual members meeting and board elections at
7:30 pm on Monday, October 12, 2020.  This year, it will be virtual via Google Meet. Please find the meeting information below:

Like all Little Leagues, we operate thanks to dozens of volunteers who dedicate hundreds of hours each calendar year. We would like to provide information about the Board of Directors and ask you to consider running for the first time. We need more board members to keep operating for our children and community.

The board officially meets once per month immediately following the annual meeting. Board meetings typically last for 1.5 – 2 hours. In the months leading up to the start of the seasons we often need to hold ad hoc meetings to discuss preparation details. The amount of time board members spend working on league matters in between meetings depends on the position and individual motivation. Some positions have peaks during the year where a significant amount of time is required while others retain a more intense commitment the entire year.

We will have several empty positions highlighted below that need to be filled. Here is a list of the board positions our league currently includes and a brief description of the responsibilities. For some positions, we link directly to the official description on the Little League website. In some years, responsibilities can be combined.

  • Vice President: The person taking the Vice President position does so along with another role on the board. The Vice President may need to perform official league duties in the event the President is not able to do so.

  • Treasurer: DESCRIPTION ON LITTLE LEAGUE SITE
  • Safety: DESCRIPTION ON LITTLE LEAGUE SITE
  • Public Relations and Communications - Works alongside our Technology Officer to handle league emails and social media content.  
  • Coaching Coordinator: Oversees the construction of coaching staffs at all levels; creates post-season surveys and suggests improvements based on the feedback.
  • Uniforms and Equipment: Works with the local supplier to ensure all teams in all seasons are properly outfitted.
  • Field Coordination and Scheduling: Creates schedules for all seasons, revises spring schedules as weather impacts gameplay.
  • Evaluations: Runs the spring evaluation sessions for Coach Pitch, Kid Pitch Minors and Majors divisions.
  • Sponsorship Coordinator: is responsible for gathering together a group of paying sponsors in exchange for advertising opportunities. In this role, the duties include putting together a list of potential sponsors for the league, contacting them to solicit their participation, and coordinating their promotion in the event.
  • Technology Officer: Manages website, social channels, and all registration related needs.
  • Field Maintenance and Equipment: Coordinates with town and private contractor to ensure fields are maintained; Keeps inventory on league-provided equipment and replaces as necessary.
  • Zero-Tolerance Chair: Leads a group of three board members to evaluate violations of the league’s appropriate behavior policies for coaches, parents and players; Manages other League-related personnel matters that arise.
  • Umpire Coordinator: Coordinates the recruitment, training and scheduling of league umpires.

If you are interested in volunteering but cannot dedicate the time commitment of a board position, please volunteer to help on one of our committees. We need volunteers for each committee led by a board member.  Please respond to this email and let us know you're willing to participate on a committee.
